Busy schedule. Unfinished books?

The bank balance tells you only part of the story.

You’ve paid the lab. Payroll is due. An insurance payment has arrived, but the amount doesn’t match what you expected.

These are the details that pile up in a dental office. We help connect them, flag gaps, and give you a short list of items that need your input.

Deposits01

Check deposits against your day-end reports

A payment in your dental software is not proof that the money reached your bank. We compare payment records with deposits and follow up on gaps.

Associate pay02

Follow each associate’s agreement

One associate may be paid a share of fees billed. Another may earn a share of money collected. Lab deductions can differ, too.

We check payment calculations against the agreed terms and supporting reports. That gives you a record of how each amount was worked out.

Office overhead03

Find out why overhead has gone up

A larger supply bill does not always mean you used more supplies. It could reflect a bulk order, higher prices, or an invoice entered twice.

We group lab costs, supplies, wages, rent, and other expenses so you can compare months and ask better questions.

Your dental software is the starting point

Use Dentrix, ClearDent, or ABELDent?
Let’s look at your setup.

Before you change systems, we review how your office records payments and shares reports. We discuss which exports or reports are available, how they can support your books, and who will provide them.

Any direct connection or import needs to be checked for your software and version. We confirm the workflow before you sign up.

A few dental details that matter

HST needs a closer look

Many dental services are GST/HST-exempt. Some cosmetic services and other sales may have different tax treatment.

An exempt service is not the same as a zero-rated sale. That difference can affect whether you can claim tax paid on expenses. Shared costs, such as rent or software, may need a split based on how they are used.

We review the records and flag items that need a tax check. We do not assume that every sale or expense follows the same rule.

Keep fees, insurance payments, and balances separate

The ODA Suggested Fee Guide is a reference. It does not mean every insurance plan pays your full fee.

Your charge, the insurer’s payment, a patient’s share, and an approved write-off may all differ. Keeping those amounts separate helps explain what was collected and what is still owed.

Keep your corporation’s money separate from yours

If your dental corporation pays a personal bill, it should not be left among routine practice costs. Money you take from or lend to the company also needs a clear record.

CRA shareholder loan and benefit rules may apply. We flag owner transactions for review so they can be dealt with at year-end.

What you get each month

Reports you can discuss.
Questions you can answer.

We agree on the reports and timing during setup. If a number looks odd, you have a place to start the conversation.

Your agreed monthly service can include
  • 01Reconciled bank and credit card accounts.
  • 02Income and expenses grouped by type.
  • 03A profit and loss report showing income, costs, and profit.
  • 04A balance sheet showing what the business owns and owes.
  • 05A list of missing records or amounts that need checking.

Pricing that starts with your needs

Starting from $199/mo.

A single office with up-to-date records needs a different scope from a practice with several associates and months of unfinished books.

Your quote takes account of transaction volume, accounts, payroll, tax work, and cleanup. It explains which services are included and which are quoted separately.

Questions you may have

Can you catch up on old books?+

Yes. We first check the records and the periods involved. You get a scope and quote for the cleanup before we start.

Can we keep our accountant?+

Yes. We can handle the books and work with your accountant. We also offer personal and corporate tax services if you need them.

Do we have to change dental software?+

Not necessarily. Tell us whether you use Dentrix, ClearDent, ABELDent, or another system. We’ll review the reports and workflow before recommending a change.

Does the monthly price cover everything?+

Your quote lists what is included. Payroll, tax returns, and past bookkeeping work depend on the scope you choose. We explain this before you decide.

What happens on the free call?+

In 20 minutes, we’ll walk through our process, discuss pricing, and answer your questions. You can then decide whether we’re a good fit. There is no obligation to sign up.
